Accurate medical records are crucial for maintaining professionalism, ensuring continuity of care, and building trust with clients. Here’s how to make changes to your medical record on the Vetster platform.

Adding notes to correct or update medical records


After your appointment is complete and you have finalized a DAP medical record on Vetster you can make a change by adding a “Note”. Adding a Note is the recommended way to document clarifications, corrections or updates. Vetster Notes are an integral part of the medical record and are visible to any veterinarian who may review the file in the future. This ensures transparency and accuracy.

Steps to Add a Note:

  1. Navigate to the appointment record.
  2. Click "Add Note."
  3. Write the correction or additional information clearly and concisely.

Visibility Options:

You can choose whether the client can view the note. This flexibility is particularly useful if the correction involves information intended for veterinary professionals only. This practice is similar to color codes or notes used for communication between veterinarians within a traditional practice.

Prescription changes


VetsterRx provides you with the ability to add and void prescriptions, even after the record is finalized. This is available within the VetsterRx tool itself for all veterinarians as well as within VetsterRx fulfilled by PetMedsⓇ for veterinarians in the US. Using VetsterRx to change prescriptions maintains accuracy within the medical record and also saves you time because there is no need to contact the pharmacy yourself. With this in mind, please be sure to enter all prescription changes within VetsterRx, and not elsewhere in the record, and reach out to Vetster’s support team if you need assistance.

  • VetsterRx fulfilled by PetMedsⓇ: Simply select the a new product and complete the information as prompted in the usual manner to add a prescription. To void a script, click on the original prescription and click VOID.
  • VetsterRx freeform tool: Create a new prescription the same way as you did before finalizing the record. Within each script there is an option you can select to void it.

However, please be aware of the following:

  • You must void a script before creating a duplicate for the same medication. For example, if you’ve already prescribed Cephalexin 250 mg but need to change the instructions or quantity, you cannot issue the same script again without first voiding the original.
  • Scripts can only be voided before they are in the hands of the fulfilling pharmacy. Once a prescription is pending fulfillment at the pharmacy, it can no longer be voided through the Vetster platform. In this case, please reach out to our support team.

Correcting errors in direct messages (DMs)


Direct Messages (DMs) with your clients are captured on Vetster as part of their medical record. If there is an error made in a DM, please explain the error in the DM to your client.

Example Follow-Up Message: “Apologies for the earlier message. It was sent in error and is not applicable to your pet’s case. Please disregard it. Here is the correct information: [insert accurate details].”

This approach ensures transparency while maintaining the integrity of the medical record.
